Legal Compliance
- Introduction:
Legal Compliance is a vital part of the administration of any Organization. Oracle Communications treats this with due importance. In order to achieve this, there are suitable processes in place. These processes/steps are maintained by the Organization and management monitors the same strictly.
The HR function shall be responsible for this part. HR shall follow the statutory rules with sincerity & discipline.
2. Purpose:
The purpose of this document is to underline the criticality of maintaining all the necessary legal compliances. This helps to govern and ensure all the statutory related payments like PF/ESI are submitted on time and other related documents are also maintained in a proper manner. The necessary certificates/licenses shall be renewed within timeline.
3. Scope:
The scope of this document is to depict the legal compliances that are necessary to be maintained and monitored and the guidelines that need to be followed by Oracle Communications for doing so.
The following compliances fall in this category:
- PF
- ESIC
- Trade License
- LWF
- Licenses related to Fire protection & DG pollution.
- PF
The PF incurred by both the employee & employer shall be deducted & submitted to the regulatory as per norms by the 15th every month. A tracker shall be maintained for the employees showing the amounts deducted and submitted each month.
- ESIC
The ESIC contributions of the employees & employer shall be deducted & submitted to the regulatory by the 15th every month. A tracker to be maintained for the employees showing the amounts deducted and submitted each month.
- LWF
The amount deducted from the employees shall be submitted to the authority by the 15th of July (deduction from June salary) and 15th of January (deduction from December month salary) each year.
- Licenses
Licenses like Trade license shall be monitored and on time renewal shall be done by Oracle Communications.
There are some licenses like Fire protection & DG pollution which is done by the building authorities and hence these licenses are not kept with Oracle Communications.
4. Responsibility:
It is the responsibility of HR to maintain and execute the legal compliances with support from Projects and/or Finance. They ensure that all of these activities are carried out in a timely manner.
